Mobile Device Management with Office365

There is a virtual explosion of Mobile devices at the Workplace. Almost everyone at work now uses his Mobile device for tasks related to work. While this has led to an increase in productivity , the downside is that the Mobile device has now become the single biggest source of leakage of Corporate Data . This is mainly due to the fact that the Corporate IT has no means to manage the User Mobile. Or if there are some 3rd party tools, they are so expensive and complicated to use that the IT does not have the resources to learn and implement the same.

Enter Office365 !

Exchange Online, which is a part of Office365 , the Cloud based Productivity Platform from Microsoft , has extensive inbuilt features which can assist the Corporate IT in managing the Mobile Devices. Let’s understand some of the functionality provided in Exchange Online:

Given below is the screen shot of the Exchange Online Admin console

The first thing which happens when a user tries to configure his mobile with the Exchange Online Mailbox  is that his device gets quarantined. You can see the list of quarantined devices in the screen shot. He also gets a message on his mobile that he should contact his administrator for authorization. So this is the first level of control. The Admin can then release the mobile from quarantine if the device has the requisite permissions.

You can device some regular policies like:

  • Require a password

  • Specify the minimum password length

  • Require a number or special character in the password

  • Designate how long a device can be inactive before requiring the user to re-enter a password

  • Wipe a device after a specific number of failed password attempts

  • Allow Bluetooth

  • Allow Camera

  • Allow Infrared

  • Allow Storage Card

  • Maximum Calendar Age for sync

  • Maximum Email Age for Sync

  • Maximum password failed attempts

  • And many more

So by making effective use of the ready to use policies combined with customized policies which you can design, what you get is an effective Mobile Device Management System. And since it is a part of Office365 Admin Console, it does not cause an extra overhead for the Corporate IT.
